Read first for the message

Imagine receiving your draft without knowing the background. Can you identify the request and the reason for it? Move important context earlier, remove unrelated details, and explain gaps in the argument before polishing individual words.

Read again for language

Read aloud to find sentences that are hard to follow. Check verb tense, subject–verb agreement, articles, pronoun references, and punctuation. Replace vague language, but keep words you understand and can use naturally.

Finish with a useful next step

For this recommendation, close with an action the reader can consider. Avoid introducing an unrelated new argument in the ending. Keep your original draft nearby so you can see which changes improved meaning and which only changed the sound.
